Flexible Working Policy

Introduction
At T&H, we recognize the diverse needs of our employees and the importance of balancing work commitments with personal responsibilities. This Flexible Working Policy, in conjunction with our Hybrid Working Policy, provides a framework for requesting and implementing flexible working arrangements.

Eligibility
All employees, regardless of their role or length of service, are eligible to request flexible working arrangements.

Types of Flexible Working Arrangements
Flexible working arrangements can include, but are not limited to:
• Flexible Start and Finish Times: Adjusting the start and end times of the workday.
• Part-Time Work: Reducing the number of hours worked per week.
• Job Sharing: Sharing the responsibilities of a single full-time position between two employees.
• Remote Working: Working from home or another location outside the traditional office.
• Term-Time Working: Adjusting working hours to align with school terms, taking extended leave during school holidays.

Application Process
Employees wishing to request flexible working arrangements should follow these steps:

  1. Submit a Written Request. The employee must write to their Line Manager using the Flexible Working Request form, with a copy to HR. The request should include:

-The type of flexible working arrangement requested.

-Proposed start date and duration (if temporary).

-Although not necessary, it may be useful for the employee to include an explanation of how the arrangement will benefit both parties and how the potential impact on the business can be managed

2. Discussion with Line Manager: The Line Manager will meet with the employee to discuss the request in detail, considering the potential benefits and challenges. This exchange could take place over email, remotely or in person.

3. Review and Decision: The Line Manager, in consultation with HR, will review the request. We aim to provide a decision within six weeks of receiving the request. If more time is needed, we will inform the employee of the delay and the reasons for it.

4. Written Response: The employee will receive a written response outlining the decision. If the request is approved, the response will include the details of the new working arrangement.

5. If the Line Manager is unable to accept the request they will consult with the employee to find a potential compromise within the statutory two month period.

Considerations for Approval

Requests for flexible working arrangements will be considered based on:
• The nature of the employee’s role and responsibilities.
• The impact on team dynamics and overall productivity.
• The ability to maintain customer service and business operations.
• Potential costs and benefits to the company.
• The employee’s circumstances and needs.

Trial Period

Approved flexible working arrangements may be subject to a trial period, typically lasting three months, to ensure that the arrangement meets the needs of both the employee and T&H. During this period, regular check-ins will be scheduled to assess the effectiveness of the arrangement, any unanticipated impacts and to make any necessary adjustments.

Review and Adjustment
Flexible working arrangements will be reviewed periodically to ensure they continue to meet the needs of both T&H and the employee. Adjustments may be made as necessary, with mutual agreement.

Rights and Responsibilities
Employees granted flexible working arrangements will retain the same rights and responsibilities as their colleagues working traditional hours. This includes maintaining productivity, meeting performance standards, and participating in team activities and meetings as required.
