Your key and alarm fob

A key to the Post and Packing door and alarm de-activating fob have been provided to you on the basis that they are for your sole use. Your key and fob are not to be lent to anyone under any circumstances. You will also have been provided with an Information Card stating the alarms Abort Code and the Contract Number, which should be kept private and carried on you at all times.

If you lose your key, alarm fob or information card, you must notify the Facilities Manager immediately. Should you decide to leave the Company, the key, fob and card must be returned to the Facilities Manager before or on your last day.

Security and the burglar alarm

Outside of normal office hours, a security guard (provided by Adsec Group) will be on duty, covering Monday to Thursday from 6pm until 7am, and continuously from 6pm on Friday until 7am on Monday morning. When the office is closed due to national holidays and over the Christmas period, security guard cover will be in place from 6pm on the last day of work until 7am on the day the office reopens.

The security guard sets the burglar alarm once the building is clear of staff and the cleaners, and is generally located at the Reception desk. Every two hours the security guard deactivates the alarm and walks the building, returning to reception and re-setting the alarm. The alarm covers the entire building and is maintained and monitored by Chubb.

When the security guard leaves at 7am, Monday to Friday, the burglar alarm is reset, and is active until the first key holding member of staff enters the building, generally around 8am.

On entering the building

If you arrive at the office outside normal working hours when reception is closed, for example you are the first key holder to arrive in the morning, and you use your key to gain access, it is essential that you immediately check the status of the alarm. If it is active you will hear a buzzing sound. Deactivate the alarm immediately if it is in operation, using the key fob as shown in the Basic Instructions for Use section at the bottom of this document.

Accidental activation of the alarm system puts at risk our police response, which is a critical part of our insurance cover. If you are not confident about using the alarm, please ask the Facilities Manager for refresher or additional training.

If you use your key to enter the building during the period when a security guard is on duty, you must ensure that you notify him/her of your presence so that the alarm is not set whilst you are in the building.

Signing in and visitors

When entering the building outside normal office hours, it is essential that you sign yourself and anyone accompanying you into the out of hour’s visitors’ book, and sign out when you leave. You are responsible for advising your guest(s) of where the fire escapes are located, and where the assembly point is (along Smarts Place*) should there be need for an emergency evacuation.

Evacuation procedures out of hours

Should there be an emergency evacuation, the security guard is responsible for accounting for everyone in the building at the assembly point by referring to the visitors’ book. If the fire alarm goes off, you must follow the normal evacuation procedures as stated in the Thames & Hudson Fire Escape Procedure and Plans document. Upon arriving at the assembly point in Smarts Place*, you must present yourself and anyone accompanying you to the security guard so that he can check you off. Do not use the lifts.

Basic Instructions for Use

Normal Deactivation of the Alarm

To deactivate the alarm, hold your fob over the circle at the bottom of the alarm panel. The buzzing should stop immediately.

Accidental Activation

If for any reason the fob does not work on the first attempt and the alarm does not stop buzzing, or if you accidentally set off the alarm:

  • First try again to stop the alarm by holding your fob over the circle at the bottom of the alarm panel. If the alarm is still activated, key in the Abort Code (32515), noting any code that shows on the panel display. This is the Fault Code.
  • Wait by the phone at the Reception Desk for the Chubb Alarm Control Room to ring.

DO NOT ATTEMPT TO RING THEM. They will phone within approximately two minutes.

  • You will be asked for your name, and the Abort Code (32515) and Contract Number (1176296) which are recorded on your Information Card. Chubb will then ask you for the Fault Code and an explanation of why the alarm went off.
  • Chubb will then contact a Master Key Holder (Frank Whittick/Neil Palfreyman/Lucas Dietrich) to confirm the information provided and cancel the alarm. Wait in the Reception area until the Master Key Holder calls the Reception phone to give the all clear, at which point you will be able to move into the rest of the building.
