Staff Purchase Procedure

Ordering Employee Book Purchases

Employee book purchases can be made via the Gateway which can be accessed via Touchpad.  Click on ‘New Doc’ and select ‘Staff Purchases’. 

The staff purchase form should automatically show your name and the dispatch address as 181A High Holborn.   If the form does not show your name, then contact to the IT department.  

Please enter a telephone number and select via payroll under Payment Method.  Payment will then be taken straight from you salary in the next salary run.

Once completed click save form.

You then need to add the title(s) you wish to purchase via the Add Title icon.   The easiest way to add titles is option 1, select from the title database. Insert the title(s) you wish to purchase.    

The discount defaults to 50%.  Please override with 75% where appropriate.   

Please note, orders can only be processed when the title is AVL i.e. available and in the warehouse.  Please don’t order titles if they have any other status, for example, TOS (temporarily out of stock), or NYP (not yet published).

Once you have inserted the title (s) you wish to order, click on the small square box immediately below the word “COMPLETED” in grey and click Save Form again.

You should see a green tick at the top of the order form.  This means your order has been sent for processing.  

Sandra Tube (Reception) will check and notify you if anything is wrong (e.g. if the titles are not available, or the discount is incorrect).  Sandra will authorize your order and you will receive a confirmation email from IT Support. 

Your order will be delivered to the Thames & Hudson London office via the HHC daily van service.  Please allow 3-5 working days for delivery.  If after one week your order has not been received please send an email to Katie.Davison@hachette.co.uk quoting the Gateway number concerned. 

In the run up towards Christmas, please place your order a minimum of 7 days prior to your required delivery date.  An email will be circulated towards the end of the year with the cut-off date for any orders to be processed and delivered by the end of the year.
