Guidelines for Receiving Valuable Original Materials

Please read the following advice before accepting any valuable materials onto the premises:

  • On receipt of high-value material, it is critical that the named responsible T&H employee alongside the Commissioning Editor immediately checks for external damage to the inbound parcel. If the external packaging is damaged, a photograph is required in case there is a claim to be made against the original shipper;
  • Carefully unpack the material in a clean and clutter-free environment (it should be free of anything that may inadvertently cause damage, e.g. away from any liquid including tea and any food stuff);
  • Make an initial check against the illustration list provided by the owner to ensure that all material has been supplied;
  • Check the condition of the material, noting any damage or blemishes, and create a condition report. The owner should be made aware of any shortages and/or any damage that has been noted by sending a copy of the condition report as soon as is practical, with photographic evidence where appropriate;
  • The member of staff receiving the material should be overseen by the Commissioning Editor and/or the Head of Picture Research, in conjunction, where appropriate, with the Production Director or nominated deputy;
  • Once the material has been checked, and until such time as it is actively required by the producing departments, all materials should be carefully packed into a robust box and stored in the Strong Room and off the Strong Room floor.
