Holidays, Work Trips & Other Leave

Details of your holiday entitlement are set out in your Contract of Employment. Our holiday year runs from 1st January to 31st December. Towards the end of each year our HR Department will send you a summary of your holiday taken to date and any holiday you may have remaining. Any entitlement to carry over holiday to the following year will be set out in your Contract of Employment.

We would ask you to give as much notice as possible when requesting holiday so that your Line Manager can ensure cover while you are away. In general, we would ask for not less than two weeks’ notice. However, your Line Manager may give consideration to shorter or even last-minute holiday requests provided they can be accommodated by the business. We consider it is important that you take your full annual holiday entitlement, but we do reserve the right to refuse requests for holiday at particularly busy times for your department or at times when other of your colleagues are away.

All holiday requests should be made through Cintra iQ portal on the T&H TouchPad. If you need help logging in or using Cintra iQ, please contact the HR department. Your request will be forwarded automatically to your Line Manager. You will receive an email either confirming approval or declining your request. If your request is declined, your Line Manager will discuss with you their objections. You may then submit an alternative request.

All work trips must also be logged by you on the Employee Self-Service portal.

In addition, you may be granted time off, at the discretion of your Line Manager, for the following:

  • GP, hospital, dental and optician appointments: if it is not possible to arrange these outside normal working hours. Written confirmation of appointments may be required;
  • Attending funerals;
  • A day’s leave when moving home (a maximum of one day per two-year period);
  • Jury service or a court appearance (basic pay less any payments made by the court); and
  • Recognized religious holidays.

Any such special leave must be authorized by your Line Manager in advance, and may be paid or unpaid according to circumstances. You may be asked to take such leave from your annual holiday entitlement.
